A ministry conference, a signing ceremony or a national forum works differently from a public event. Most guests are invited rather than recruited, many arrive as delegations, the seating plan is a protocol document, and someone senior will ask for the attendance list the next morning. This guide covers each of those and where evenclo helps.

Invitations instead of open registration

Build the guest list by category, such as ministers, ambassadors, heads of agencies, private sector and press, and send each person a personal invitation by WhatsApp and email with their own registration link. Keep a named contact for every office that replies on a senior guest’s behalf. evenclo tracks each invitation as accepted, declined or unanswered, and a reminder goes only to those who have not replied.

Delegations booked by one coordinator

Ministries and companies send groups, booked by an office manager who will correct a misspelled name three weeks later. Let one coordinator register the whole delegation while each member keeps their own email, badge and QR code. Twenty people sharing one office address cannot each check in or receive their own confirmation. Ask for each delegate’s title and organisation as they should appear on the badge, because protocol staff will check them.

Approve before you confirm

For a closed event, make registrations through the public link need approval, so a forwarded link produces a request instead of a confirmed seat. In evenclo approval is set for each attendee type, so invited guests can be confirmed straight away while press requests wait for someone to approve them.

Protocol seating

Seat the front rows by precedence and expect the plan to change on the day, when a minister sends a deputy. Keep each seat on the guest’s record instead of in a drawing, so a change moves the name and nothing has to be reprinted. evenclo assigns seats against real registrations and lets each guest look up their own seat.

Badges, access and the list afterwards

Print a different badge design for each type (guest of honour, delegate, press, staff) so the door can tell them apart at a glance, and scan at every entrance. The attendance list by organisation is usually the first thing asked for the next morning, and with each check-in recorded per person it is a download. In evenclo every change to the guest list is written to an audit trail that cannot be edited. Share the final list with venue security the day before, including drivers and personal staff who need access.

Common questions

How do you manage replies for an invitation-only event?

Send each guest a personal link, track every invitation as accepted, declined or unanswered, and send reminders only to those who have not replied.

How do you stop invitation links being forwarded?

Make registration through the public link need approval, so a forwarded link produces a request instead of a confirmed seat.

How should protocol seating be managed?

Assign seats to guest records, reserve the front rows by precedence and keep the plan editable on the day, so a substitute takes the seat without reprinting.
