An exhibition has two customers and they want opposite things. Visitors want to get in quickly and find companies. Exhibitors want a booth in the right aisle, staff passes, and proof at the end that the leads were worth the stand. Most platforms serve the first well and the second barely at all.
evenclo treats the exhibitor as a party in their own right, with their own portal and their own session type — never a user on your team.
The floor plan is the working document
Draw the halls and the aisles and generate the booth grid at real dimensions. Drag a company onto a booth; the colour follows their package, so the hall reads at a glance — where the gold booths are, whether the corners went to the sponsors who paid for corners, which aisle is still empty three weeks out. The same plan publishes to visitors, so there is no exported image to forget to update.
Exhibitors run themselves
Applications come in through a form you built, you approve and assign a package, and a magic link opens that company’s portal. No account is created by hand and no password is issued — which removes the entire category of problem where a company cannot log in on build-up morning because the credentials went to someone who left.
- Packages that decide booth size, staff passes and entitlements
- Requirement collection with deadlines, so the late ones surface
- Staff passes registered as normal attendees, with badges
- A mobile sign-in for booth staff on the day
- Arabic or English portal, following the exhibitor’s own language
The hall is where wifi goes to die
Metal structure, two thousand phones on one access point, and a temporary network installed the day before. Check-in and lead capture both hold their queue on the device and sync when the signal returns, and badge printing falls back to the browser rather than stopping. Offline is the default assumption here, not a recovery mode.
Proof the stand was worth it
Booth staff scan an attendee badge and the lead card opens carrying the answers that attendee gave at registration, with your qualifier questions on it. Every exhibitor collects the same fields, so what you hand back at the end is one comparable file — and you can answer which halls, aisles and packages actually produced conversations.
Common questions
Does lead capture work without signal in an exhibition hall?
Yes. The queue is held on the device and syncs when the signal returns, so a booth in a dead spot keeps capturing and nothing is retyped afterwards.
How do exhibitors get access to their portal?
By magic link. Exhibitors are a separate session type, so no account is created by hand and no password has to be issued or reset.
Can visitors see the exhibition floor plan online?
Yes. The published plan is the same object your team assigns against, so it cannot fall out of date the way an exported image does.
